Sealed at pickup. Yours forever.

SecureVerse collects your institution’s records in tamper-evident boxes, scans them to searchable files, and holds them in an encrypted vault your team can reach at any hour.

Every engagement starts with a pilot: one SecureBox, end to end, before you commit an archive. Or call +233 55 654 8184.

Records you answer for

A paper archive is risk that compounds quietly: fire, flood and humidity on one side; slow retrieval and occupied floor space on the other; and Act 843 asking questions either way.

Illustration: a records room with bundled paper files and cardboard boxes stacked on open steel shelves.

Built for the people who answer for them

  • Schools & universities

Transcript turnaround that international placements depend on, alumni records that survive the decades, and storage rooms returned to the campus.

  • Law firms

Case files retrievable by text search, audit logs that stand up to scrutiny, and custody you can demonstrate rather than assert.

  • Clinics & hospitals

Patient records kept confidential, and recoverable after the kind of disaster that ends a paper archive.

  • Corporates & finance

Auditability you prove rather than claim, through access logs and per-batch certificates, and archive floors returned to revenue.

  • Government & agencies

Land titles and certificates preserved against loss, and citizen service that no longer waits on a file hunt.

  • Families

Land titles, wills and certificates that exist in one copy in one house, kept where fire and flood cannot reach them, and reachable by the relatives you name.

Six links, none of them assumed

A custody chain is only worth the record it leaves behind. Each handover is signed or logged at the moment it happens, and the record never sits with nobody accountable for it.

Custody passes three times and is signed at every pass. Your office, to us, and back to you.

Judge it on one box

The most useful thing we can offer is not a promise. Every engagement starts with a pilot small enough to inspect: one SecureBox, end to end, so you see the whole chain before committing an archive to it.

  1. Day 0

    Go-ahead

You accept the proposal. Nothing is collected yet.

  2. Within 5 days

    Site assessment

We come to you, map where the records actually sit, and agree what the pilot covers.

  3. Week 1 to 2

    Pilot sealed

One SecureBox is sealed at your office, in front of your staff.

  4. Week 2 to 4

    Pilot delivered

Scanned, indexed, loaded into your vault, certificate issued. You inspect the whole chain.

  5. Week 4

    Review

You judge the pilot. If it does not hold up, it ends there and you have committed nothing.

  6. From week 5

    Implementation

Scale to the tier that fits, with the pilot as the standard everything after it is measured against.

  7. Ongoing

    Steady state

Collection at your tier frequency, certificates per batch, annual price review.

Request your pilot

Four details and we can propose a date for the site assessment. Your email app sends the request; nothing is sent from this page.

Plans built for scale

Two tiers cover most institutions. Every engagement is scoped and quoted individually after the pilot.

The Business Guardian Kit

Built for SMEs and healthcare clinics
  • Quarterly SecureBox pickup
  • Digitization of up to 5,000 pages per year
  • 5-user encrypted vault access
  • Standard audit logging

The Enterprise Compliance Kit

Built for chambers, schools and hospitals
  • Monthly SecureBox pickup
  • Digitization of up to 15,000 pages per year
  • 20-user encrypted vault access
  • Automated compliance audit logs and full-text search (OCR)

One-time setup

Both tiers begin with a one-time setup: site assessment, SecureBox deployment, the first digitization batch, and vault provisioning. Quoted in your proposal.

Beyond the allowance

Bulk backlog scanning outside these plans is billed per page at a rate confirmed in your proposal.

SecureBox and SecureVault

One is a physical object your staff can inspect. The other is infrastructure your auditor can question. Both are specified, not described.

Illustration: a closed navy archive box with an orange tamper-evident seal and a blank white label.

SecureBox

Sealed and numbered at the point of collection.

Construction
Rigid corrugated body, lidded, lockable.
Seal
Numbered single-use tamper-evident strip, threaded through the lid clasp.
Labelling
Your reference and a box number. No description of contents on the outside.
Capacity
Approximately one linear foot of A4 filing.
Custody
Signed handover at collection and again at intake.

SecureVault

Act 843 asks you to answer for the records you keep. Every control here is standard on every package, and none of it is taken on faith.

Storage
Private encrypted vault. Managed on AWS S3 (Amazon’s cloud storage), or on servers inside your own environment.
At rest
Every stored file encrypted with AES-256.
In transit
Every connection between you and your records encrypted with TLS, the protocol behind the browser padlock.
Access
A second check beyond the password (multi-factor authentication) for every user, not an upsell. Role-based permissions.
Logging
An access log that cannot be edited: who opened what, and when. Readable by you.
Custody
Tamper-evident SecureBox, sealed at your office, logged to the scanning facility.
Certificate
A Certificate of Digital Archiving for every completed batch.
Retrieval
Any record, 24 hours a day, from any device. Full-text search of scanned pages (OCR) on the plans that include it.

Who handles your records

Three roles touch a document between your office and your vault, and each is accountable for a different link in the chain. The separation is deliberate: no one role can move a record end to end on its own.

Logistics

Background-checked collection staff. They seal, transport and hand over under signature. They do not open boxes.

Capture operators

Scanning and indexing at the facility. They verify the seal against the collection log at intake and record the page count.

Vault administration

Provisioning, access control and log integrity. This role never handles paper.

Where your records actually sit

Three models, one decision, taken at the site assessment and written into the agreement. Residency is something we settle with you, not something we assume.

A

SecureVault Managed

SecureVerse provisions and operates the encrypted vault. Fastest to stand up, and the default for SMEs, clinics and firms.

B

Dedicated / On-premise

The platform is deployed on servers inside your own environment. Records stay on your premises. SecureVerse installs, operates and maintains.

C

Hybrid

The master set is held on-premise. A working index and retrieval copy sits in the managed vault, so staff keep fast search without moving the originals.

On all three: AES-256 encryption, mandatory multi-factor authentication, and an access log you can read.

Lead time is standard for the managed vault, the fastest to stand up, and extended where the platform is installed on your own hardware.

Common questions

Answers institutional teams usually ask for before signing.

How quickly can we start?

We visit within five business days of your go-ahead to map your records and scope a pilot.

Where exactly are our records held?

That is a deployment decision, and it is settled before the first box is sealed. Managed engagements sit in a private encrypted vault on AWS S3. Institutions with residency or sovereignty requirements take the dedicated deployment, where the platform runs on servers inside your own environment and the records never leave your premises.

What happens to our physical documents after scanning?

They are returned, re-archived, or destroyed with a Certificate of Digital Archiving, on your written instruction. The choice is yours and it is recorded.

Who can access the vault once records are digitized?

Only the users your institution names, through role-based access control and mandatory multi-factor authentication. Every access is logged.

Do you handle ongoing intake, or only one-time backlogs?

Both. Institutional plans include recurring SecureBox collection alongside one-time backlog digitization.

What if we exceed our plan’s page allowance?

Overage is billed at the per-page rate confirmed in your proposal. No allowance is consumed silently: usage is reported.

How quickly can we get a record back?

Digital retrieval is immediate. Physical recall of an original is agreed in writing.

Who do we call if something goes wrong?

A named contact, with a written escalation path issued with your service agreement.

Are you certified to any international security standard?

No. SecureVerse holds no ISO 27001 or SOC 2 certification today, and we will not imply otherwise. What we hold is the control set described above, and a chain of custody you can audit on one box before committing anything.

Illustration: a long archive aisle of navy boxes on steel shelving, each with a white label and an orange seal.

A service, not just software.

The lockable box, the logistics team, the scanning, the vault and the certificate arrive as one engagement: delivered, logged and answered for.
